Task 2: Project – Simulated Workplace Environment

Assessment task 2 – Practical activity: Conduct a meeting

Instructions

For this task, you are required to work individually to conduct a meeting to gain feedback on a topic of your choice as agreed with your trainer/assessor.

The activity is to be conducted at a venue relevant to your chosen topic (e.g. your workplace, home, sporting club or social group meeting place). There is no set time limit for this task but it is expected to take approximately five hours.

You must complete all tasks and provide correct responses to 100% of the questions to achieve competency in this task.

This is an open book assessment – you will have access to the internet and may refer to your workbook or any other material at any time during the assessment. You can ask your trainer/assessor for assistance if you have a special need that requires reasonable adjustment to the assessment (e.g. the questions to be asked and answered orally).

Follow the instructions on the next pages to complete the required tasks.

Introduction

You are responsible for conducting a meeting with a small group of people (minimum five participants) to generate ideas about a topic of your choice. In the next assessment task (Assessment Task 3), you will then have to decide on a course of action based on the outcomes of this meeting and present your proposal to the group to persuade them of its merits.

The specifics of your meeting topic are completely up to you, but it must be relevant to the team, group or organisation you choose to focus on.

Some examples of the types of topics that might be appropriate are:

  • Organising a social function or event for a social group, sports team or your family
  • Planning a fundraiser or charity event for a group you are involved with
  • Conducting a continuous improvement initiative at your workplace or club, such as refining a product or service or developing better procedures
  • Encouraging innovation in your work team, sports team or club to bring about positive changes

Key considerations

Key considerations you must take into account when deciding on your project are as follows:

  • You must be able to arrange two meetings with a group of at least five people to discuss your topic
  • The topic must be of relevance to these people so they can actively contribute ideas and information

  • You will not be required to follow through with implementation of your proposal – this assessment focuses purely on your ability to communicate with and influence your Whether you and your group choose to proceed with your proposal is entirely up to you.

If you are having difficulty identifying an appropriate topic or are unsure if your idea is suitable, please contact your trainer/assessor to discuss. Once you have decided on your topic, carry out the tasks described on the following pages to plan and conduct your meeting.

In the space below, summarise your chosen topic and audience in three sentences or less.

Answer:                                Meeting Agenda: Increase Promotional Activities

The main focus of the meeting is on promotion of the company’s new product. We have to generate awareness in the people regarding our new product. For promoting the product, different promotional tools will be used like, advertisement on television, pamplets, hoardings etc. We have to use attractive tactics like- giving free samples of the product, lucky draws, giving discounts and offers scheme of buy one get one, etc to attract new customers.

Part A: Analyse your audience

In order to gather information from which you can formulate your proposal, you must first analyse your audience to determine the best way to communicate with them.

In the table below, provide a list of all meeting participants, including their role in relation to your topic and their value in advancing its interests. Also list any characteristics that you need to be mindful of when communicating with them, such as hearing or speech impairments, ethnic or cultural background, personality traits or temperament (e.g. dominant, shy, sarcastic, easily distracted, excitable), or anything else that affects communications with them.

Please note: If you have more than 10 meeting participants, please type up your list in a separate document and save it for submission with your assessment kit.
