Formative Assessment Activities

Activity 1

This activity will help you assess how well you handle your own and others’ personal information.
 We will handle our and others’ information by following the given points:

1. I will not share important passwords with anyone.

2. I will not give access to any outside person for browsing the company’s website.

3. I will not share everything on platforms of social media.

4. I will consider extra protection while sharing information with outsiders.

5. I will also utilize the quality software antivirus before logging into the account of the company (Boruch & Cecil, 2016).

 Chapter 1 – ‘True’ or ‘False’ Quiz

Tick ‘True’ if the statement is correct, and ‘False’ if not. True False
Various types of communication channels can be used to communicate with external stakeholders.
An organization’s privacy policy will list and define the types of information it collects.
Security breaches in information handling should be investigated promptly.
Organizations do not need to protect confidential information.
Employees who handle sensitive information do not need to know the organisation’s privacy policy.
If the organisation is required by law, they can disclose personal information.
An organisation must not disclose personal information even if there is a threat to health or safety.
An organisation can disclose personal information if they suspect that unlawful activities are occurring.
Clients’ personal information and organisational data such as sales and reviews are types of information protected under the organisation’s privacy policy.
Ways of protecting information include encrypting the data and protecting it using passwords.
Organisations should ensure that their electronic information is accurate and up to date.

Activity 2

Complete a task using your own group’s resources or negotiate to obtain resources from others.
We will do this by first knowing the amount and prices of resources then we will check if the resources are useful or not. Then we will start negotiating to get cost-effective resources with better quality and efficiency (Boruch & Cecil, 2016).

Chapter 2 – ‘True’ or ‘False’ Quiz

Tick ‘True’ if the statement is correct, and ‘False’ if not. True False
Having a clear strategy allows the other party to understand the point of the negotiation.
The first offer must be bold and aggressive.
Do not exploit the other party’s weaknesses.
Both parties negotiate to reach an agreement that benefits only one side.
When there is conflict, both parties must attack the problem, not each other.
In conflict resolution, both parties must not be swayed by external factors.
Cross-cultural communication happens when people with varying cultural backgrounds communicate with each other
Communicating cross-culturally is an attempt to mediate differences to exchange thoughts freely.
People with an aggressive communication style speak quietly and do not make any demands.
People with a passive-aggressive communication style mutter under their breath when someone asks them a question.
People with an assertive communication style give feedback in a constructive manner.

Activity 3

Choose any topic you would like to talk about and take turns facilitating discussion in your group.

The topic of the Meeting – Confidentiality of information

Purpose of meeting – To discuss meaning and importance of confidentiality of information

Time – 10:00 am

Date – 21st July

Duration – 10 minutes

Attendees – Manager and employees

Venue – Meeting room

Meeting

Manager – Good morning all!

Employees – Good morning sir!

Manager – How are you?

Employees – We are good sir, what about you?

Manager – I am also good. We are here to discuss the confidentiality of information. So, tell me in your opinion what confidentiality of information is?

Employees – Sir, by this we mean that we should not share the information unless we are asked to do so. We should protect the information and not disclose it.

Manager – How will you do that?

Employees – Sir, we will not discuss that information with any outsider and also use a strong password for maintaining the privacy of the accounts.

Manager – Okay, you know everything about it. Well done!

Chapter 3 – ‘True’ or ‘False’ Quiz

Tick ‘True’ if the statement is correct, and ‘False’ if not. True False
Relevant documents must be sent to the attendees before the structured meeting so they can review them.
The meeting secretary conducts the structured meeting.
Previous action items are addressed first before moving on to the structured meeting’s agenda.
The meeting minutes are only for the chairperson to keep.
Attendees can speak to any motion after the chairperson opens the floor for discussion.
Preparing an agenda is not required for inclusive meetings.
Ground rules on when to speak and when to listen should be laid out in an inclusive meeting.
Practicing empathy can de-escalate a situation.
Do not let an angry person express their emotions.
The purpose and objective of the meeting should be clear before it is held.
If there are issues that need to be resolved, make sure that these are in line with the meeting’s objectives.
