Preparing for the meeting

How did you prepare for the customer meeting? What information did you review? What policies and procedures did you refer to?

To start the customer meeting the manager has always to start with the best agenda plan before going into the meeting and I have to make sure that the customer has always agreed to the agenda which I plan and agreed with the agenda before to the meeting. If for some reason it will not be asked I asked it before the commencement of the meeting. I have to set the main objectives and the plans for the desired goals and objectives and plan for the objective support and I will always have a plan B then I should follow all the activities and start the preparations.

I have to review the plan and all the question and their queries answers and review it and also make sure everything is happening according to the plan the policy and the procedure are should be done according to the organizational policies and all the procedures should follow according to it only in an effective way.

Outcomes of the customer meeting

There are many of feedback from the side of the customer and there are so many problems they are facing with the company related to the company services and all the procedures are not good and worth it they are facing many problems related to many phases there are many problems they are facing like the workers and employees are not treated good with the employees and their behaviors are not good towards the employees and employees nature are not polite towards the customers and employees are also no attending their calls and not reads customers queries and their queries are pending in the inbox. So according to their feedback their feedback there is not good enough work or services they get.

Continuous improvement is very important for the overall growth of the organization the continuous improvement benefits all the organization from all sector it helps in improving the product quality, it helps to increase productivity and efficiency it helps in decreases the cost of production reduces and control the waste and provide larger customer satisfaction(Singh, & Singh, 2015).

Continuous improvement models

Continuous improvement is very important for the overall growth of the organization it helps to increase productivity and efficiency helps in decrease the cost of production reduces and controls waste and provides larger customer satisfaction. There are four continuous improvement models in the organization which is six sigma, kaizen, perpetual beta, and the fail fast or fails forward.

Company needs to conduct training sessions for the employees. In

these training sessions, education should be provided to the

employees regarding how to handle customer queries and how to

resolve their problems instantly so they do not need to wait.

Customers are kingpins in the market, if they face any problem then it

affects the image of the company. The company should provide

training to the employees, that how to talk with customers politely, how

to solve their problems, and how to be soft and helpful towards the

Customers (Calvo-Mora, et al., 2015).

Effective communication with subordinates- The other knowledge

management system that can be seen in the above case is the lack of

communication and coordination among the employees working in the

company. It is important to work with coordination and take decisions

and actions after discussing with other team members. The operations

manager should communicate with all the teammates regarding all the

tasks and activities and then take action. For the smooth functioning of

the company, coordination and communication is very important and

play a vital role in the success of the company. With effective

communication, the manager should give direction to the subordinates

to attain the organizational goals (van Assen, 2021).

Continuous improvement tool 1

PDCA (plan, do, check, and act)- the first tool is PDCA for continuous

Improvement in the business organization. PDCA stands for plan, do,

Check, and at the end act. The PDCA tool provides an approach for

the manager to implement continuous improvement in the business. In

this approach, the manager should first plan all the necessary actions

and activities that have to be performed. The planning provides a

direction to the manager as well as all the subordinates to perform the

Function. After planning, the manager should implement the plan in the

business organization. The implementation step is important because

a plan is not working until and unless it is not implemented. The third

step is to check the implemented plan. A manager should check all the

Activities and analyze the activities. It is important to check the

Implemented plan with the decided plan. And if there is any deviation

then take corrective measures. At the end of this technique, the

manager should act and try to correct the deviation that is analyzed in

Gemba Walks is an effective tool to improve the performance of the

business. This tool and technique enable the manager to use the most

valuable and most important resource of the company, which is its

human resource. The employees who are working in an organization

are the most important resource for the company. The most innovative

and new ideas come from the employee’s side. The operations

manager of the company should interact with the employees and try to

seek the best answers and best suggestions from their side. The

manager should welcome ideas and advice from their subordinates.

The manager should conduct Gemba walks in the organization. It is

the place where all the business activities such as manufacturing,

development of a product, etc, happened. A Gemba walks involve

interaction with subordinates to search the for best suggestions and

decisions ( Kwakye, 2018).
