Instructions to student

Schedule a suitable time with the trainer and assessor in week 4 of class to present, negotiate and finalise the stakeholder engagement and communication approaches with a group of stakeholders: representatives from the project management team, and from the program board (played by a group of classmates), in simulated work conditions.

The trainer and assessor will observe and evaluate your performance during the Role-Play.

Before the meeting

·         Make sure that the engagement and communication plans are ready

·         Prepare to present the plans and to engage the group of stakeholders to support the plans and the program

During the meeting

·         Present the plans

·         Take the opportunity to build and maintain effective working relationships

·         Share information about the program, focusing on stakeholder engagement and communication

·         Work towards achieving an agreement on the communication and engagement approaches you planned for

·         Consider different stakeholder interests and expectations when making program decisions

·         Identify create and utilise linkages to enhance knowledge sharing and commitment

·         Use active listening and questioning techniques to confirm understanding

After the meeting

·         Record any change/adjustment/refinement to the plans agreed with the group of stakeholders.

·         Apply any change/adjustment/refinement to the plans agreed with the group of stakeholders and submit the finalised version.

Duration: 30-45 minutes

If you are absent from class, it is your responsibility to make alternative arrangements with the trainer and assessor to undertake the Role-Play. You may only reschedule once.

Instructions to assessor
The student is required to present, negotiate and finalise the stakeholder engagement and communication plans with a group of stakeholders: representatives from the project management team, and from the program board (played by a group of classmates), in simulated work conditions.

Observe and evaluate the performance of the student during the Role-Play.

·         Print the Observation checklist before the Role-Play.

·         Make sure to adjust this document to allow enough space for comments and feedback.

·         Discuss the requirements of the Role-Play with the student to make sure that he/she is clear on what is expected.

·         Observe and evaluate the performance of the student during the Role-Play using the checklist provided

·         Ask the student to answer the support questions in this document and provide feedback

·         Discuss the feedback with the student

·         All parties to sign and date

·         The student to submit the observation checklist with his/her assessment

You will be looking for the student’s demonstrated ability to apply the knowledge and skills required to plan and agree on approaches to engage program stakeholders.

What policies and procedures did you consider when writing the communication and the stakeholder engagement plans? Organisational objectives, regulatory requirements, and industry standards were taken into account when developing the policies and procedures for the plans for stakeholder involvement and communication.
What were your non-negotiables when negotiating with stakeholders? The following were non-negotiables in stakeholder negotiations: respect to moral principles, openness, and dedication to organisational ideals.
How did you accommodate differing stakeholder interests and expectations during the meeting with the group? Provide an example. Different stakeholder interests and expectations were met through actively listening, outlining objectives and problems, and identifying win-win solutions. In a meeting with a varied collection of stakeholders, for instance, the emphasis was changed from individual interests to shared ground, leading to a cooperative decision.
What did you do well? What could you improve? Stakeholder-centered thinking, active listening, and effective communication were positives. More thorough stakeholder analysis, better expectations management, and proactive follow-up are all areas that might use improvement.
