Part A

Question 1

As the general manager of the NGO and the department head of the funding management. I have to collect the fund for the NGO and invest them in the right direction. As I have to instruct the funding team on how to invest their money in the NGO to get better results in return (Gent, et al., 2015).

Question 2

The communication of lines should be kept open by recording and selecting the better option investment. This will help most of the people that need help from society. Also, this will describe the importance of investments in NGOs (Jack, 2016).

Question 3

A verbal communication plan should be used in this communication process. The main reason for using this method is to describe to the participant  the importance of the amount and the proper plan for the investment. We also, have to explain to them the estimated results from these investments in the NGO (Lane, et al., 2018).

Question 4

The solution should be related to the NGO development and provide better results for NGO development. As to provide the people more high level of the benefits in the society. This is also, to do a better level of the development in the society.

Question 5

BATNA will be considered the best alternative to a negotiated agreement. There are the main strategies in the NGO as we have to find out the best solution for the development of the NGO. As we have to make a plan for a better investment in the NGO (Sebenius, 2017).

Supervisor – According to the scenario we have to consider the investment in the NGO for better development. The real motive for the amount of money that funds will help the charity for better development. The AIDS Foundation the charity needs the amount of around $25,000 for building up the and training 5 counselors in the local areas. AIDS/HIV for the helping the needy people the society. Also, provide them information related to AIDS/HIV for their safety.

Participant  – based on your plan and description of the plan. We understand the importance of this using the amount of money as a fund. This will be an important thing for social improvement and development.

Supervisor – Therefore AIDS and HIV NGOs need $ 95000 for their types of equipment and Hospital specialty development in the environment. This will help the NGOs and charities to provide help to needy people. This is known as the division of work that helps to reduce the key issues.

Participant  – As we understand your considered consideration related to AIDS and HIV but the budget which you built for us is too expensive to do funding in this section. We are not able to consider this NGO for investment.

Supervisor – The animal welfare Charity guide Dogs for the blind NGO. The NGO is purchasing 15 new dogs to train them and to use them to help blind people in their daily uses.

Participant  – yes this is an important thing to do as we have to help the people. Those people who are blind and not able to see the. This also protects them in a better manner.

Supervisor – For buying the dogs to help the blind people the cost of the 15 dogs is $45000 and some kinds of blind dog training will be organized in the NGO. which will cost $75000 for the facilities and the trainers who are going to train the dogs. I want to explain to all the participants that want to give the fund to charity. This will help them to develop the working environment in the charity section.

Participant  – We understand you are concerned related to the dog’s training and their types of equipment also organize the facilitators and need fees to train the dogs. but the amount which you are asking for the investment as funding will be out of our budget and we will not be able to do the investment in your Charity.  it will be a little bit costly for us to do investment in this section.

Supervisor – There is a local Church community action program. This NGO runs a job culture for the long-term unemployed people the people who do not have employment in their life and need money for their daily life’s expensive handling. If you guys do not agree to give the amount of fund to HIV charity. Then UNICEF NGO is the better option for funding the people who have asthma.

There is also $ 30000 of money required for the maintenance of the NGO. the NGO wants a minibus and wheelchair for the access meant of the friendly club the full fund is related to the two-day trip .which includes the beach and other local Residency the total cost of this is 24000 and it includes the salary for the care too.

Participant  – As I have understood your NGO and the motive of your NGO is to provide jobs and unemployment for the people and organized. the friendly club but this will not be suitable for us to do the investment as we want to do something for the society not for something for fun.

Supervisor  – Surf life-saving Queen silent is the NGO that is working and there will be1500 people who saved the seas around the state as they seek the fund. there is the new faster and more reliable electricity with the system is life there will be the total cost of this $35000. as they improved the GPS radio systems and the two life boards on the side of the beach and it will have cost $6000. the total cost per person would be estimated at around $1000 per person. there will be 24 volunteers will be available in the active positions around the beach because this is the division for the work and it will be making a better outcome with these funds.

Participant  – we understand your consideration related to saving the life of the people around the beach. this has been very clear that there will be most of the people who die around the beach. as we have to save them this is the biggest achievement of life to save the life of the people. therefore we need to do something more related to reality this is the main reason we need to choose the NGOs that are doing better campaigns to compare to others and you in the society.

Supervisor  – UNICEF asthma campaign is seeking the fund from the society to screen the asthma importance in the environment there will be a mobile asthma clinic open which is cost $42000 the salary cost will be $35000 also insurance and fuel cost of the mobile clinic will be 8000. If you are ready to give the amount in funding and they are willing to pay only 20% of the fund amount. This will help the people who are suffering from asthma to get better services from those people. This is the description of the funding in the UNICEF asthma campaign but the campaign needs $100,000 for buying the inhalers for the people and leaflets for the people to do the better development in the society.

Participant  – According to your description related to the UNICEF asthma campaign. we have to understand that the NGO $100,000 for the investment and it will be related to our budget and we are ready to do the investment in this NGO for the development.

The assessment process

The assessment process is known as competency-based assessment. This means that evidence of your current skills and knowledge will be measured against national standards, not against the learning you have undertaken either recently or in the past. Some of the assessment will be concerned with how you apply your skills and knowledge in a workplace, and some in the training room as required by each unit. The assessment tasks have been designed to enable you to demonstrate skills and knowledge application and produce the critical evidence to successfully demonstrate competency at the required standard.

 

Your assessor will ensure that you are ready for assessment and will explain the assessment process.  Your assessment tasks will outline the evidence to be collected and how it will be collected, for example, a written activity, case study, or demonstration and observation. The assessor will also have determined if you have any special needs to be considered during assessment. Changes can be made to the way assessment is undertaken to account for special needs and this is called making Reasonable Adjustment provided to you in the assessment guide separately.

Assessment methods

This manual has three assessment tasks. Assessment methods for this unit of competency include:

  1. Written questioning
  2. Case study (includes role-plays)
  3. Role-play (include written preparation work)

Instructions

  1. Each assessment task provides you with assessment information that includes answers to what, why, how, when, in what condition, what materials, resources and equipment to use and evidence requirements.
  2. Read the applicable information and if unsure seek clarification from your assessor.
  3. Before and during assessment demonstration and interacting with others, ensure you follow simulated workplace policies and procedures.
  4. Ensure you follow hygiene procedures, social distancing rules and ethics before, during and after assessment tasks and activities.
  5. Undertake your preparation activities and demonstration activities as specified and directed by your assessor.
  6. In any situation during the assessment, if you find that you are unable to perform due to any condition (health or safety), stop your work and inform the assessor of the condition.
  7. Ensure you are obligated with your rights as a candidate and respects the rights of your assessor during the assessment performance.
  8. For interactive and role-play activities, organise role-play settings and individuals for role-play in collaboration with assessor and training mates.
  9. Submit your written work when it becomes due and avoid the requirements of extensions.
  10. Use provided self-assessment checklists by checking as you progress in assessment to ensure you do not miss anything that may lead to unsatisfactory outcomes.

  1. Fill your submission details in the front page and attach any additional documents and any other evidence as specified and required by your assessor.

Distinguish / differentiate Distinguish means recognise or treat (someone or something) as different. To differentiate is to show or find the difference between things which are compared. It simply means that they are not the same but does not qualify them as being unique and possibly not related.

What This is to assess your knowledge of something related to the subject area asking you to specify one or more things related to what is being asked in the question. You need to provide sufficient description of how (ways, methods, manner, procedure or process) it can be performed for he reader to understand the ways or procedure.

This assessment will be conducted according to training delivery session plan. Assessor will specify the timings of assessment and submission of evidence. Time allowed for the assessment is 3 hours within 20 hours of training delivery of the week 2.

Assessor can decide whether to have this as written or oral questioning. If the assessor uses verbal questioning method, the assessor must write student responses using dot points as a minimum on the student’s key responses relevant to the question (Not recommended as it is a time-consuming method as one candidate will respond while other candidates are watching and waiting, but assessor is free to decide).

As COVID10 pandemic spiral in 2020, it has become a requirement by Department of Health and Human Service (DHHS) for the organisations to have a  COVID Safe Plan for the organisation to get back to normal operation with full human resource capacity in the year 2021.

Your workplace deal with wide range of products that require human interaction and contact through demonstration. The COVID Safe Plan is developed and need to be communicated and presented to stakeholders who have direct involvement with operation. You have been assigned the task of presenting the COVID Safe Plan requirements to two groups such as:

  2. Suppliers and/ or customers (key stakeholders who interact day-to-day basis)

Purpose

This Negotiation and Execution of Contracts Policy clarifies the procedures, obligations and liabilities applicable to the negotiation and execution of contracts in the name of (organisation). This policy is consistent with the policy entitled “Purchasing and Contracting Regulations” Except for the contracts for which authority is reserved by the Board or designated to the CEO by this Policy Manual, all contracts necessary for the daily operations of each.

Therefore, the following Negotiation and Execution of Contracts Policy defines the circumstances under which individual employees are authorized to negotiate and sign contracts on behalf of (organisation), as well as the process and procedure for reviewing and approving contracts prior to signature.

Policy Statement

Unless specifically excluded from this Policy, all contracts involving (organisation)must be executed in accordance with the terms of this Policy. No person shall sign any contract binding upon the (organisation) unless such individual has been appointed, in writing, as the designee authorised to sign. For purposes of this policy, “contract” shall mean any contract, agreement, memorandum of understanding, memorandum of agreement, letter of intent, or any other instrument which commits the funds, personnel, equipment, property or facilities of (organisation). The policy shall further apply to revenue contracts for which the (organisation) receives funds for providing services, as well as all change orders, modifications, amendments or renewals of any contract.

Procedure

Planning your negotiation

No amount of preparation is too much in approaching complex or high-stakes negotiations. Plan both your approach to the subject under negotiation, and your tone and communication style. In approaching the subject of your negotiations:

  • set your objectives clearly in your own mind (including your minimum acceptable outcome, your anticipated outcome and your ideal outcome)
  • determine what you will do if the negotiation, or a particular outcome, fails
  • determine your needs, the needs of the other party and the reasons behind them
  • list, rank and value your issues (and then consider concessions you might make)
  • analyse the other party (including their objectives and the information they need)
  • conduct research and consult with colleagues and partners
  • rehearse the negotiation
  • write an agenda — discussion topics, participants, location and schedule.

In deciding your communication style, familiarise yourself with successful negotiating strategies. Arm yourself with a calm, confident tone and a set of considered responses and strategies to the tactics you anticipate.

Engaging with the other party during the negotiation

  • Introduce yourself and articulate the agenda. Demonstrate calm confidence.
  • Propose — make your first offer. The other party will also make proposals. You should rarely accept their first offer. Evidence suggests that people who take the first proposal are less satisfied and regret their haste.
  • Check your understanding of the other party´s proposal.
  • Remember your objectives.
  • Discuss concepts and ideas.
  • Consider appropriate compromises, then make and seek concessions.
  • Suggest alternative proposals and listen to offered suggestions.
  • Paraphrase others’ suggestions to clarify and acknowledge proposals.
  • Give and take.

Closing the negotiation

Take a moment to revisit your objectives for the negotiation. Once you feel you are approaching an outcome that is acceptable to you:

  • look for closing signals; for example
    • fading counter-arguments
    • tired body language from the other party
    • negotiating positions converging
  • articulate agreements and concessions already made
  • make ‘closing’ statements; for example
    • ‘That suggestion might work.’
    • ‘Right. Where do I sign?’
  • get agreements in writing as soon as you can
  • follow up promptly on any commitments you have made.

Conducting Meetings

Policy : Meetings should be conducted in a manner which maximises meeting outcomes and does not waste employee time.

Definitions : The meeting chairperson is the person who chairs the meeting.  A quorum is the minimum number of participants required to make decisions at a meeting.

The minute taker is the person responsible for recording meeting actions and preparing the Minutes of Meeting.

Procedure

Responsibilities of meeting chairperson

  • Ensure there are enough people at the meeting to make a quorum.
  • Run the meeting according to the order of items on the Agenda.
  • Ensure all participants are given an opportunity to contribute.
  • Encourage open and constructive discussion.
  • Discourage destructive discussion.
  • Ensure all or most Agenda items are covered.
  • Close the meeting.
  • Check and sign the Minutes of Meeting.

 

Minutes of Meeting

  • The minute taker must provide an accurate record of the participants, apologies, motions, actions and important points raised at the meeting in the Minutes of Meeting.
  • The template for the Minutes of Meeting should be used.
  • The Chairperson must approve the Minutes of Meeting before they are distributed.

Structure of this assessment
There are seven questions in this assessment. They are different in their designs and requirements. Some can be answered in dotted points, some need short answers, while others may require a little bit of description. Your responses or answers to the questions must be precise and clear. Answer: An organization directly utilizes different methods for productive outcomes and maximizing profits. Media and organizations come forward and work parallelly to provide branding opportunities and they work simultaneously to build the organization’s profile. Government organization directly attempts to structure the business practice by implementing different use and regulations. Communication channels are the mode to align the employees for the business goals, better communication channels are required forthe strong interaction between the firm and employees and within the workforce.

Administration activity in an organization is processed by the communication channel, it directly connects leadership to the firm’s performance (Ting-Toomey, & Dorjee, 2018).

Question 2 What are the major principles of cross-cultural communication?
Answer: 1. Preparation: Prepare the people of different backgrounds for their culture and etiquette.

2. Language: Different geographical regions have different languages so to avoid misunderstandings usean interpreter who not only knows multi-language but knows culture too.

3.Awareness: We should aware that different regions have different cultures. It takes time to get the nature of culture(Ting-Toomey, & Dorjee, 2018).

4.Centre the similarities: Similarities in the workplace, family backgrounds, and leisure. Focus on understanding, not being judgemental, and not expressing the disagreements immediately.

Question 3  Explain the  principles  of  negotiation,  mediation,  conflict  resolution  and incident de-escalation.
Answer: 1.Negotiation deals with agreements of parties involved in the conflicts. This is done by some principles which are focused on needs and not on positions, making agreements simpler, being soft on people not on the problem (Kumar & Antony,2018).

 

2. Mediation has some principles which are diligence, confidentiality, independence of mediator, legality, and principle of procedural economy.

 

3.The important principles of conflict resolution are listening actively, attacking the process, accepting the responsibilities, looking for interest, to be focused on the future.

 

4. Principles of de-escalation are concise, speaking short, easier sentences, not responding in anger, by respecting the personal space of the individual.

Question 4  Describe structured and inclusive meeting procedures.
Answer: Structured meeting procedure involves punctuality of timing, appraisal of agenda, favorable outcomes conducted according to schedule, and concluding the meeting with a summary. While inclusive meeting involves asking participants about needs, keeping participants updated, and checking everyone’s technical work. An inclusive meeting also involves basic ground rules and not allowing one person to dominate. Taking feedback from the participants and sending out a summary.

What is this assessment task about? Refer to and read the documents saved in a separate folder:

You have been recently engaged by XYZ Pty Ltd trading as MMI as a Project Manager (PM) to develop and implement a project to open a new campus in Sydney (refer to MMI strategic objectives).

 

  • The Board of Directors (BoD) has allocated 3 million dollars to the project.
  • Project duration: 1 year.
  • You can employe four new staff members to be part of the project team for its duration. Source the rest of the project team from existing MMI personnel (flexible work arrangements will be needed)

 

The project includes:

 

  • Finding premises in Sydney CBD ( 800-1000 square metres, onsite parking for staff, natural light)

Ideally, there will be enough room for 5-7 classes, one meeting room, one computer lab, 1 x student kitchen, student lounge, 1 x staff kitchen, three offices for staff, toilet facilities

I started the meeting by offering a warm welcome to all guests and laying out the requirements. I made sure that now the meeting’s agenda and processes were followed, and also supporting other people’s ideas and viewpoints. I recommended, for example, that we use a cyclic table style to enable for consecutive entry out of each participant.
