This Learner Assessment Pack is designed for you to complete the assessment for BSBTWK503 – Manage meetings (Release 1). It may refer to your own workplace/organisation, or to a simulated business provided by your assessor.

The assessment tasks include Short Answer Questions where you need to demonstrate your knowledge and understanding of the unit, and the Practical Assessment, where you need to demonstrate your skills required in the unit. It is recommended that you complete the Practical Assessments in your own workplace/organisation. If you don’t have access to a real workplace, you can complete the assessment in a simulated environment where resources and conditions similar to a workplace must be accessed. Ensure to discuss this with your assessor prior to commencing with the assessment.

Before you commence your assessment, ensure that you have a good knowledge of the subject, have thoroughly read your Learner Resource, and clearly understand the assessment requirements and the expectations of the industry to which the assessment is related.

Assessments are designed to be completed using your industry/organisation, but your Registered Training Organisation (RTO) may assist you by contextualising the unit to be completed in a simulated workplace environment.

You will be required to demonstrate knowledge and skills which must be observed directly by your assessor. Where the observation task may be difficult for the assessor to directly observed, a video recording of the practical observation task must be submitted as supplementary evidence. Verification from at least one third-party signatory, and preferably two or more witnesses is required to confirm your demonstration of these practical knowledge and skills. These witnesses would usually be your current or recent supervisors or your assessor.

The practical assessment tasks may be completed using your own workplace, a simulated environment, or a mix of both, as instructed by your assessor. To contextualize this assessment to your industry/organization, you may be asked by your assessor to provide additional information based on your industry/organization.

Instructions are given for each task. If you have questions, or are unclear on how to proceed, consult with your assessor.

Records of all aspects of the assessment must be kept in your Learner Assessment Pack

The record of the assessment is a legal document and must be signed, dated, and a copy stored as required by your Registered Training Organisation (RTO).

Steps for Learners

Your Learner Assessment Pack:

  1. Upon receiving your Learner Assessment Pack, discuss with your assessor the expectations and requirements of this assessment. You may also need to supply the contact details of one or two work referees who can confirm your skills in the industry.

Discuss with your assessor if you intend to undertake the practical assessment tasks based on your employing organization, in a simulated business, or in a mix of both.

  1. Your Learner Assessment Pack is where you will get the task information. Complete each task as instructed using either your own workplace or using a simulated business, as discussed with your assessor.
  1. After you complete your assessment, gather and submit your evidence documents as detailed in the task(s) in the timeframe agreed with your assessor.

Your assessor will advise you if there are any further steps for you to take to satisfactorily complete this assessment.

Reasonable Adjustment

Adapted Reasonable Adjustment in teaching, learning and assessment for learners with a disability – November 2010 – Prepared by – Queensland VET Development Centre

Reasonable adjustment in VET is the term applied to modifying the learning environment or making changes to the training delivered to assist a learner with a disability. A reasonable adjustment can be as simple as changing classrooms to be closer to amenities or installing a particular type of software on a computer for a person with vision impairment.

Why make a reasonable adjustment?

We make reasonable adjustments in VET to make sure that learners with a disability have:

  • The same learning opportunities as learners without a disability, and
  • The same opportunity to perform and complete assessments as those without a disability.

Reasonable adjustment applied to participation in teaching, learning and assessment activities can include:

  • Customizing resources and assessment activities within the training package or accredited course
  • Modifying the presentation medium
  • Learner support
  • Use of assistive/adaptive technologies
  • Making information accessible both before enrolment and during the course
  • Monitoring the adjustments to ensure learners needs continue to be met

Assistive/Adaptive Technologies

Assistive/Adaptive technology means ‘software or hardware that has been specifically designed to assist people with disabilities in carrying out daily activities’ (World Wide Web Consortium – W3C). It includes screen readers, magnifiers, voice recognition software, alternative keyboards, devices for grasping, visual alert systems, digital note-takers.

IMPORTANT:

The reasonable adjustment made for collecting learner assessment evidence must not impact on the standard expected by the workplace, as expressed by the relevant unit(s) of competency. For example, if the assessment were gathering evidence of the learner’s competency in writing, allowing the learner to complete the assessment verbally would not be a valid assessment method. The method of assessment used by any reasonable adjustment must still meet the competency requirements.

Resources Required for Assessment

To complete the Practical Assessment tasks, you will require access to:

  • Computer with internet and email access and a working web browser
  • Installed software: Word, Adobe Acrobat Reader
  • A workplace, or a simulated workplace environment that will allow you access to:
    • Workplace documentation, including:
      • Organizational policies and procedures for managing
      • Federal and/or state/territory legislation, regulation, or best practice related to conducting business meetings
      • Ethical requirements in line with managing and conducting meetings
      • Meeting Minutes
      • Meeting Agendas
      • Online application or program to conduct virtual meetings. This can include:
    • Skype
    • Zoom
    • Microsoft Teams
      • Resources and equipment to conduct a face-to-face meeting. This can include:
    • Projectors
    • Board/conference rooms
    • Presentations
      • People, including:
        • At least one assigned meeting minute taker, whom you must brief regarding the requirements of the meeting
        • Relevant participants to take part in the meetings, a minimum of two per meeting, which can include:
      • Supervisors
      • Colleagues
      • Suppliers
      • Clients
        • Opportunity to manage meetings on at least two occasions

Contextualisation of Assessments by RTOs

Contextualisation is the process of modifying assessment tools to make learning more meaningful for your learners and their employers.

Precision Group (Australia) recommends that your RTO contextualise the assessment tools to suit particular industry requirements and specific organizational requirements before using them. Contextualisation must retain the integrity of the assessment and the outcome of the unit of competency.

Contextualizing for your state/territory

The contents of this assessment tool are not written for a specific state/territory. Where the assessment tool refers to legislation and other industry requirements which may vary across states/territories, sample model answers are based on one state/territory.

Should your RTO intend to use this assessment tool for learners from your state/territory, Precision Group (Australia) recommends you to:

  • Access and review the legislation and industry requirements applicable in your learner’s state/territory.
  • Update assessments and benchmark answers to reflect the legislation and industry requirements applicable in your learner’s state/territory.

Contextualising the generic project assessment

The Practical Assessment included in this workbook was designed to be administered in a real workplace, unless otherwise stated. Should your RTO wish to administer the assessment in a simulated environment, the RTO will need to redevelop the existing project assessment in this workbook so the learner can complete it in the simulated environment.

Below are some examples of how the RTO may simulate the Practical Assessment:

  • Develop role play activities with clear instructions and guidelines to replace existing tasks involving consultation, meetings, discussions, and oral communication.
  • Provide the learner with access to work personnel who will participate in assessment activities, e.g. project stakeholders, clients/customers, or team members.
  • Provide the learner with access to simulated workplace documents and information, such as but not limited to policies and procedures, organisational vision and mission statements, business plans, operational plans, etc.

Practical Assessment

The Practical Assessment is a set of tasks that must be completed in a workplace, or in an environment with conditions similar to that of a real workplace.

To be assessed for this unit of competency, you must demonstrate your skills and knowledge to manage a range of meetings including overseeing the meeting preparation processes, chairing meetings, organising the minute’s and reporting meeting outcomes.

This unit applies to individuals employed in a range of work environments who are required to organise and manage meetings within their workplace. These individuals may work as senior administrative staff or may be individuals with responsibility for conducting and chairing meetings in the workplace.

The Practical Assessments in this workbook include:

1.       Workplace Project Assessment

A series of written practical tests assessing the learner’s practical knowledge and skills underpinning of the unit of competency. This includes the learner completing workplace documents or similar as evidence of competent performance.

2.       Workplace Practical Observation

A set of assessment tasks where the learner must demonstrate practical skills relevant to the unit of competency. These skills are to be demonstrated while being observed by the assessor.

IMPORTANT!

§  All signatures/initials in your submissions, including yours, must be handwritten and dated. Submissions with signatures/initials must be scanned.

§  The supervisor/observer who completes and signs your evidence submissions must provide their real name, contact number, and email address for your assessor’s reference.

§  Should you encounter issue or concerns regarding your assessment, contact your assessor.

Workplace Project Assessment

Project Overview

This workplace project assessment requires you to prepare, conduct and follow up business meetings on at least two occasions.

This assessment is divided into four tasks:

§  Task 1: Establish and Verify Meeting Requirements

§  Task 2: Develop and Distribute Meeting Agendas

§  Task 3: Conduct Meetings

§  Task 4: Meeting Follow Up Actions

This project requires you to complete the assessment tasks in a real workplace, or in an environment with conditions similar to that of a workplace in this industry.

This includes access to:

§  Organisational policies and procedures for managing meetings

§  Computers and relevant software

Each task comes with a set of instructions. You are to follow and perform these instructions while being observed by the assessor and/or submit any required documentation.

Before starting this assessment, your assessor will discuss with you these tasks, including instructions and guidance for satisfactorily completing them.

Task 1: Establish and Verify Meeting Requirements

ASSESSMENT INSTRUCTIONS
This task will require you to establish and verify meeting requirements with relevant stakeholder for at least one physical meeting and at least one virtual meeting.

You are to Develop two Meeting Preparation Checklists for each meeting to be conducted, which will be used in Task 2 and submitted as evidence for this assessment.

To complete this task, you must:

§  Obtain information that you need to identify the scope and objectives of the workplace sustainability policy you will develop. This will require you to access and research information relevant to sustainability, including:

o   Federal and/or state/territory legislation, regulation, or best practice related to conducting business meetings

o   Organisational policies and procedures for managing meetings

o   Ethical requirements in line with managing and conducting meetings

§  Establish and confirm information for each meeting with relevant individuals. These refer to individuals or groups who are directly involved with the meeting to be conducted. 

o   Meeting requirements, which must include:

·         Purpose of the meeting

·         Structure of the meeting

·         Type of meeting to conducted (state either be face to face or virtual meeting)

·         Outcome of meeting

·         Participants of meeting (state the essential conditions that must be arranged based on the type and purpose of the meeting to be conducted)

o   Organisational requirements based on relevant policies and procedures, which must include requirements for:

·         Recording meeting minutes

·         Chairing meetings

·         Completing meeting minutes

o   Legal and ethical requirements for conducting meetings

§  Submit the Meeting Preparation Checklists developed, one each for physical and virtual meeting to your assessor. Include any supplementary documents/sources used to create these, such as:

o   Organisational documents such as policies and procedures for meetings

o   Printed or online sources relevant meeting preparations

§  Submit evidence of communication/consultation with at least two relevant individuals of the organisation on their input about the meetings. Evidence must be at least one of the following:

To complete this task, you must:

§  Review the information identified in Workplace Project Task 1:

o   Correspondence with individuals

o   Meeting requirements identified in Meeting Preparation Checklists

§  Develop a meeting agenda for each meeting to be conducted, with each including the following information:

o   Date, time and venue of meeting

o   Participants to attend the meeting

o   Objectives of the meeting

o   Purpose of the meeting

o   Agenda items for the meetings

§  Confirm Meeting Papers to be distributed to participants. This can be organisational policies and procedures for meetings, reports, data

§  Invite at least two meeting participants for each meeting including the agenda and relevant meeting papers. This refers to meeting papers and participants identified in Workplace Project Task 1, Participants can be board members, supervisors, suppliers, clients, staff  

§  Submit at least two completed Meeting Agendas ( one each for physical and virtual meeting )

§  Submit two Meeting Papers; one for each meeting to be conducted

§  Submit any supplementary documents/sources used to create each document, such as business plans and progress reports.

§  Submit evidence that you distributed the Meeting Agenda and required meeting papers to participants inviting and confirming their attendance. Evidence can include:

Task 3: Conduct the Meetings

ASSESSMENT INSTRUCTIONS
Specifically, you will chair two meetings according to organisational requirements, agreed conventions for types of meeting and legal and ethical requirements. This must correspond to business meetings identified in Workplace Project Task 1 and Workplace Project Task 2.

To complete this task, you must:

§  Brief the minute-taker on methods for completing meeting minutes as specified in the policies and procedures outlined in Workplace Project Task 1.

This must be done before conducting each meeting.

To complete this task will be assessed on your practical skills to:

§  Chair the two meetings with the participants you invited from Workplace Project Task 2.  During each meeting, you must:

o   Promote participation

o   Promotes discussion

o   Facilitates problem-solving

o   Provides resolution

o   Use appropriate style, tone, vocabulary for audience, context and purpose

o   Asks questions and listens to responses to clarify understanding

§  Implement organisational, legal and ethical requirements identified from:

o   Meeting Preparation Checklists in Workplace Project Task 1

o   Policies and Procedures for Meetings from Workplace Project Task 1.

§  Discuss the timeframe details for the following:

o   Providing meeting minutes

o   Providing outcomes of meetings

§   Submit two completed meeting minutes, completed by assigned meeting minute taker – one for each business meeting conducted.

§  Submit evidence that you have briefed the meeting minute taker on requirements for completing the meeting minutes. Evidence must be at least one of the following:

Task 4: Meeting Follow Up Actions  

ASSESSMENT INSTRUCTIONS
This task will require you to complete meeting follow up actions according to required timeframes and organisational policies and procedures, including:

§  Reviewing meeting minutes for accuracy and correctness

§  Reporting meeting outcomes

§  Distribution and storage of meeting documents

You will need to access

1.       Meeting Minutes from Workplace Project Task 3 and

To complete this task, you must:

§  Proofread each meeting minutes completed from Workplace Project Task 3 to check for accuracy against organisational procedures

This must be reviewed and rectified for the following:

o   Accuracy of information recorded in the Meeting Minutes to information discussed during meeting conducted in Workplace Project Task 3.

o   Use of appropriate structure, spelling, grammar and punctuation.

§  Report meeting outcomes and distribute final meeting minute copies to participants of meeting

§  Store meeting documentation based on organisational requirements. This refers to policies and procedures for filing, saving, registering, retaining documentation in storage folders that is safe, secure and accessible.

§  Submit the updated meeting minutes to your assessor.

§  Submit evidence of storing and reporting used for minutes and follow up documentation. Evidence must be at least one of the following:

o   Email correspondence

o   Electronic folders on organisation database

o   Meeting Minute Register
